Supported Employment Program Assistant -Montclair

Function: Assist Business Services in ensuring high quality execution of supports and service provision in a safe environment that meets all regulatory and accreditation standards.

Essential Functions:

• Efficiently schedule and assign Job Coaches to groups and assist as needed in the scheduling of Individual Placements

• Partner with Case Managers to coordinate WAP and OE substitutes for SE groups.

• Conduct effective field and virtual training for new and tenured staff. Provide training, follow up and evaluation.

• Use good judgment and creativity to professionally resolve conflicts as necessary through direct verbal and/or written communication with staff and persons served.

• Promptly provide Job Coaches with support and coverage either directly or through managing staff resources.

• Ensure the safety of staff, workers, and other persons assigned- Participate in Monthly safety meetings, ensure daily vehicle inspection sheets are completed, and collect monthly safety drills from each crew.

• Through partnership with the Business Services Manager, deliver staff appraisals and disciplinary documentation as necessary and in a timely manner.

• Thoroughly write and maintain detailed Task Analysis; ensure Task Analysis and Time Studies are implemented either directly or through managing staff resources in a timely manner.

• Conduct new hire training and department onboarding for staff.

Duties and Responsibilities:

• Stay current and ensure compliance with regulatory agencies, including CARF, Department of Labor, FLSA and OSHA.

o Schedule/participate in standards execution and keep task analysis and Time Studies up to date.

• Conduct job coach meetings and training both on schedule and as necessary to communicate company messages, positives, opportunities, safety, financials, etc.

o Provide field and virtual training to direct staff and individuals, both in business service functions and support service functions.

• Audit and review ADP timecards for accuracy, missed punches, overtime, and meal penalties. In conjunction with the Business Services Manager, plan, and secure coverage for time off requests.

• Review case notes for accuracy and objectivity, provide feedback and training to staff as needed.

• Provide staff with the necessary tools, resources, and information for each job; ensuring that processes and procedures are being followed.

• Appropriately communicate, through all means, and respond to customer needs in a timely manner.

• Set a good example by enforcing and following rules and directives of the community employer; demonstrate to staff and individuals the proper techniques, habits, and work ethic for typical community employment.

• Operate equipment and use materials in a manner that adheres to all safety regulations, while ensuring the safety of all persons served.

• Assist in coordination, implementation and direct support of activities and fundraisers for all clients.

• Fill in as direct support or service provider if there are no options for staff coverage.

• All other duties and responsibilities as assigned.

Directly Supervises: Job Coaches

Supervised By: Business Services Manager

Requirements:

• Bachelor’s degree in Social Services or related field, two years of relevant experience related to Supported Employment. A combination of education and experience substantially equivalent may be considered.

• Demonstrates proficient competency in the following areas: Microsoft Office Suite, including Word, Excel, and Outlook; grammar, spelling, filing, record keeping and maintaining confidentiality.

• Excellent written and oral communication

• Problem solving and conflict resolution skills.

• Candidate must possess a clear driving record, a valid CA driver’s license with 5 years driving experience. Prolonged standing, repetitive motion, walking, sitting, pushing, bending, and pulling required, squatting may be necessary.

• Ability to pass First Aid and CPR certification

• Adhere to Flexible scheduling needs.

Physical Requirements

• Ability to lift 25 lbs independently and 50 lbs. with a partner.

• Repetitive motion may be necessary.

• Ability to tolerate working outside in the elements and/or inside warehouse type conditions.

Hours: Traditionally, 7:30 AM - 4:00 PM, Monday through Friday with a 30-minute unpaid lunch. This schedule can and will fluctuate, to include weekends, based on business needs.
