Secretary/Prog Aide
Title: SECRETARY/PROGRAM AIDE-DAY PROGRAMS
Function: Provide secretarial support to program manager, billing, front office reception, computer operation, cash management, record keeping, initial data entry for case magic, and other general office duties.
Duties and Responsibilities:
- Handle incoming calls and route messages appropriately.
- Track and reconcile consumer cash accounts.
- Welcome and Assist visitors.
- Schedule appointments with appropriate agencies, as required.
- Use spreadsheet software to maintain staff and client attendance records, email ratio daily to Director of Day Programs.
- Verify accuracy of substitute timesheets daily.
- Typing, duplication, processing and mailing of notices, records, reports and correspondence.
- Maintain consumer, parent/care provider, and transportation lists.
- Type updated information in consumer emergency book, providing necessary information for second group leader, as required
- Process mail and distribute accordingly.
- Transmit required information to Administrative Office
- Make telephone calls to parents/care providers, transportation sources, and others as directed
- Provide community finances to instructors, as directed.
- Beverage fund collection, under supervision of Program Manager
- Maintain consumer attendance records.
- Maintaining necessary office and maintenance supplies and materials; submit monthly requisition, as needed
- Maintain required Regional Center documents, including program statistics, as assigned; prepare monthly billings
- Prepare and maintain consumer payroll records, including Dept. of Labor (DOL) documentation; assist in preparation of DOL certification, as assigned
- Perform documentation and data gathering tasks, as assigned.
- Maintain records and send billing information to Administrative Office for all contract work, including yard maintenance and custodial
- Maintain confidentiality.
- Attend staff and other meetings assigned.
- Adhere to all safety regulations.

Requirements: High School diploma or equivalent, plus minimum of two years office experience, typing 50 wpm with accuracy, knowledge of grammar, spelling, filing and confidentiality; current CPR and First Aid training required. Must have a clear driving record, valid CA driver’s license, and 5 years driving experience, safe reliable transportation, and proof of current vehicle insurance. Ability to lift up to 25 lbs. by self; must be able to communicate within normal parameters; standing, sitting, walking, pushing, pulling, and repetitive motion required; bending and squatting may be necessary. Use chemicals in accordance with manufacturer’s labeled instructions.
Technological Requirements: Must possess a basic level of proficiency in Microsoft Office, including Word, Excel, and Outlook.
Hours: 8:00 – 3:30, Monday through Friday, includes a 1/2 hour unpaid lunch
